Creating your personal eTool user profile

Before you can use eTool or join an organisation's shared workspace, you need your own individual eTool user account. Your account is personal to you and separate from any organisation — every eTool user has their own login, whether they use eTool independently or as part of an organisation.

Why you need an individual account

Your eTool account is your personal identity within eTool. It exists independently of any organisation — you can create designs and run assessments in it without ever belonging to one.

When you later join an organisation, your personal eTool account is what gets connected to it — you don't create a separate account or login for the organisation. Your organisation admin invites you by entering your email address, and that invitation is matched to your eTool profile using that same address.

The email address is what matters here, not the order you do things in. If your admin invites you before you have an account, accepting the invitation creates your personal account automatically and links it to the organisation in the same step — using whichever email your admin invited. If you'd rather set your account up yourself first, use that same email address. And if you already have an account, just give your admin its email address rather than creating a new one — the important thing is that the address matches.

How to create your account

  1. Go to https://etool.app/register and select the option to sign up.

  2.  Enter your details and create your account, using your own personal email address (e.g. name@company.com) rather than a shared or generic one (e.g. info@company.com) — eTool's Terms of Service require each account to belong to one individual person. You can also sign up using Single Singin On (SSO) via Google or Microsoft, where available — your existing Microsoft or Google account email and password will then be whatever address your identity provider passes through, so the matching rule above still applies.

  3. If you're joining an organisation, use the same email address your admin will use to invite you.
  4. Submit the form to create your account.
  5. Log in with your new credentials.


Good to know

New accounts start on the Trial plan. This is your individual plan and stays separate from any organisation you later join — see the FAQ below if your account shows Trial after joining a paid organisation as this is expected behavoiour .

Once your account is created, you can use eTool independently or accept an invitation to join an organisation. For managing your profile, plan, and settings, see Setting Up Your Profile.

Joining an organisation

Once your organisation admin has invited your account, check for the invitation in either your email inbox or your My Inbox inside eTool — open it from wherever it's landed and accept it to join the organisation. You don't need to create another account to do this.

Your access to organisation projects and features is then determined by the organisation's plan, settings, and the seat assigned to you.

FAQ and troubleshooting 

I can't find my organisation invitation. Check both your email inbox and your My Inbox inside eTool. If it's in neither, ask your admin to confirm the email address they used — it needs to match the email address on your eTool account exactly.

I'm asked for a PIN code when I log in — is that normal? Yes. eTool may send a temporary PIN to your email when you log in from a new device or an unusual location, and your organisation may also require two-factor authentication. Enter it within 5 minutes. If it doesn't arrive, check your spam folder — some corporate mail systems delay these.

Why does my profile still show "Trial" when I'm part of a paid organisation? Your account's plan status and your organisation membership are tracked separately. Once you join an organisation, your actual access is governed by its plan, seat, and settings — not by what your individual plan status shows. Questions about your organisation's subscription or billing go through your admin or eTool support.

I already have an eTool account from a previous project or trial. Do I need a new one? No. One eTool account can belong to more than one organisation — if you work with, consult for, or get invited to several organisations, the same account carries across all of them. As long as your existing account uses the email address your admin is inviting, that account will pick up the new invitation too; you don't need to create a second one.

My eTool account uses a work email I no longer have access to — for example, I've left the employer that address belonged to. What do I do? If that email address has been deactivated, you won't be able to log in or receive invitations through it. In that case, create a new eTool account using an email you still control, rather than trying to recover the old one.
